Your privacy and safety matter. SystemSync is built for a community that shares deeply personal information, and we treat that responsibility seriously. This policy explains what SystemSync collects, how it is stored, and the choices you have about your data. We've tried to write it in plain language rather than legalese.
SystemSync is a self-help and organization tool for plural systems and individuals. It is not a medical device, a healthcare provider, or a substitute for professional care, and using it does not create a therapist–client or provider–patient relationship.
1. What Data We Collect. We collect only what the app needs to work for you. This falls into a few categories:
Account information. When you create an account, we collect your email address so you can sign in, recover access, and receive essential service messages. We do not require your legal name.
Content you create. SystemSync stores the information you choose to enter, which may include tasks and reminders, system member profiles (such as names, roles, ages, and notes you record), check-ins and mood or state logs, medication logs, grounding tools and coping resources, and support resources or contacts you save. This content is yours. You decide what to put in and what to leave out.
App settings and preferences. We store your in-app configuration, such as display preferences, notification settings, and other choices that personalize how SystemSync works for you.
Limited usage data. To keep the app running well and understand which features are used, we may collect basic technical and usage information, such as pages or screens visited, feature interactions, app version, device type, and general diagnostic or error data. We keep this to the minimum needed to maintain and improve the service, and we do not use it to build advertising profiles.
We do not intentionally collect more sensitive categories of data than what you voluntarily enter as your content, and we never ask for information the app doesn't need.
2. How Your Data Is Stored and Secured: Your data is stored in a secure cloud database hosted by a reputable infrastructure provider. We protect it in several ways:
Encryption. Data is encrypted in transit (using TLS/HTTPS whenever it moves between your device and our servers) and encrypted at rest in our database.
Per-user isolation. SystemSync uses row-level security so that your records are logically separated from every other user's. Access controls are enforced at the database level, meaning the system is designed so that one account cannot read another account's content.
Restricted infrastructure access. Access to the underlying systems is limited to the small number of people responsible for operating and maintaining the service, and only when necessary to keep the app running, resolve a technical issue, or comply with a legal obligation. We follow the principle of least privilege and do not casually browse user content.
No online service can promise perfect security, but we take reasonable and industry-standard measures to protect your information, and we work to keep those measures current.
3. Data Sharing We want to be unambiguous about this:
Service providers. We rely on trusted infrastructure vendors (for example, our cloud hosting and database provider) to operate the app. These providers process data only to provide their service to us, under contractual confidentiality and security obligations, and are not permitted to use your data for their own purposes.
Legal obligations. We may disclose information if required to do so by law, such as in response to a valid court order, subpoena, or other lawful government request, or where we believe in good faith that disclosure is necessary to comply with a legal obligation, protect our rights, or protect the safety of a person. If we ever receive such a request, we will only disclose what is legally required, and we will notify you where we are permitted to do so.
4. Exporting or Deleting Your Data. You stay in control of your information.
Export. You can download a copy of your data at any time through Settings → Insights → Export. This lets you keep your own backup or take your information elsewhere.
Deletion. You can permanently delete your account and all associated data through Settings → Danger Zone → Delete Account. This removes your account information and the content you've created from our active systems.
Please note that deletion is permanent and irreversible. Once you confirm deletion, your data cannot be recovered, so we recommend exporting anything you want to keep first. Residual copies may persist briefly in encrypted backups before they are overwritten on our normal backup cycle, after which they are gone.

- There are no social features, public profiles, or sharing feeds. Your content is private to your account and is not visible to other users. SystemSync is not a social network.
